Overview
The Customer Communication feature, also referred to as Member Comms, allows SACCOs to send SMS communications to their members directly from Kwara Core.
It can be used for promotional, informational and member engagement communications, such as notifying members about an upcoming Member Activation Day, sharing important SACCO announcements, or reaching out to members who are in arrears to encourage them to make their loan repayments.
Member Comms is intended for manually initiated communications. This is different from triggered SMS notifications, which are automatically sent by the system when a configured event occurs.
1. SMS Permissions
Before using Member Comms, ensure that your user account has all the required SMS-related permissions enabled under the Other section of Permissions.
If the Member Comms feature is not visible or you are unable to send SMS campaigns, contact your SACCO administrator or Super User to review your assigned permissions.
2. Access Member Comms
To access the feature:
Navigate to Members in Kwara Core.
Select Member Comms.
The Member Comms section allows you to create and manage SMS campaigns sent to SACCO members.
3. Create an SMS Campaign
To create a new campaign, click Add Campaign.
Enter the required campaign information:
Campaign Name: Enter a name that clearly identifies the purpose of the campaign.
Scheduled Date and Time: Select when the SMS should be sent.
SMS Message: Enter the message you would like to send to members.
Recipient Details: Select or provide the members who should receive the SMS.
Once the campaign details have been entered:
Review the campaign information.
Confirm that the message, recipients and scheduled date and time are correct.
Click Submit.
The campaign will then be processed according to the scheduled date and time.
Guidance: Before submitting a campaign, carefully review the recipient list and SMS content to ensure that the communication is relevant to the intended members. For example, when communicating with members in arrears, ensure that the campaign is targeted only to the relevant members.
4. Monitor SMS Delivery
Once the campaign has been submitted, you can monitor the status of the SMS messages.
The system provides visibility into the processing and delivery status of the messages, allowing you to track the progress of the campaign through to delivery.
This helps the SACCO confirm whether messages have been successfully delivered and identify messages that may require further attention.
5. View and Export SMS Logs
Member Comms also provides access to the SMS log information.
You can:
View the SMS communication logs.
Review the status of processed messages.
Monitor delivery information.
Export the log information for reporting, follow-up or record keeping.
To export the information, navigate to the relevant SMS logs and select the Export option.
Examples of Member Comms Use Cases
Member Comms can be used for various member engagement activities, including:
Promoting an upcoming Member Activation Day.
Sharing information about SACCO products or services.
Communicating important SACCO announcements.
Reminding members about upcoming repayment obligations.
Reaching out to members who are in arrears and encouraging them to make their loan repayments.
Sharing information about member events and activities.
Sending other manually initiated member communications.
Member Comms vs Triggered SMS
Member Comms is used when the SACCO wants to manually create and send a communication campaign to a selected group of members.
Triggered SMSs, on the other hand, are automatically generated by the system when a specific event or condition occurs, based on the SACCO's configured SMS triggers.
For example:
Member Comms: The SACCO creates a campaign to remind all members in arrears to repay their loans.
Triggered SMS: The system automatically sends an SMS when a configured loan event occurs.
Recommended Workflow
Ensure SMS permissions are enabled → Navigate to Members → Member Comms → Click Add Campaign → Enter campaign name → Select scheduled date and time → Enter SMS message → Select recipients → Review campaign → Submit → Monitor SMS processing and delivery → View and export SMS logs.
